The Payments Overview page is where all pending Payroll Payment Runs can be viewed, calculated, and approved. Payroll Payment Runs can be imported from the Labor Dashboard within Smart Ops, created as One-Time Payments, or populated automatically at the end of the Pay Cycle. 

 

Approving Payroll Payment Runs authorizes R365 to withdraw the payment amount from the account on file

 

Security

 

The Permissions listed here are associated with the Payments Overview page. These Permissions can be added to Custom User Roles or single Users. Learn more about managing Permissions and Custom User Roles here

 

Payments Permissions are found in the Permission Tree as follows:

  • Payroll
    • Workforce Payroll
      • Payments
        • View Payments
        • Edit Payments
        • Create Payments
        • Approve Payments
        • Delete Payments
        • Calculate Payments
        • Verify Payments
           

The Permission Access Report can be used to determine which User Roles or Users already have these Permissions assigned.

First, navigate to Smart Ops. In the left navigation pane, click 'Payroll' at the bottom. This will open the Payments Overview page; from here Users can navigate within the R365 Payroll module.

1) Funding Report - Runs the Funding Report to view a breakdown of Payments funded from the payroll bank account.


2) Create Payment - Opens the Create a One-Time Payment page
 

3) Unpayable Employees Summary - Summary of Payments where the Employee could not be paid due to an error in their Employee Profile. Clicking on the summary opens the Unpayable Employee's page to review Employee-specific details.
   

4) Returned Payments Summary - Summary of Payments where the Payment was returned after processing due to an error in the Employee's direct deposit information. Clicking on the summary opens the Returned Payments page to review Payment-specific details. 


5) Pending Payments Summary - Summary of the 'Approved' Payments pending payment. 
Clicking on the summary opens the Pending Payments Report to review Payment-specific details.

 

6) Pay On Demand Balance - Summary of Pay On Demand payments. Clicking on the summary opens the Pay On Demand Balance Report

  • Note: This summary is only displayed if Pay On Demand is enabled. 

 

7) Pending Approval - If a Payment Run has been calculated, it can be approved here. Learn more about calculating and approving Payments here.
 

8) Needs Attention - List of Payment Runs that have already been calculated and have errors. Learn more about Needs Attention Payments below.
 

9) Ready to Calculate - List of Payment Runs that are available to review and calculate. Learn more about calculating and approving Payments here.

 

Payroll Process

Payroll Payment Runs are collections of Payments for one or more recipients. Once a Payment Run has been added to the Payment Overview page, all of the included Payments will be processed together. 

 

Payroll Payments Runs can be imported from the Labor Dashboard within Smart Ops, created as One-Time Payments, or automatically populated per Pay Cycle. 

 

When a Payment Run is first added, it will appear in the 'Ready To Calculate' list. Only one Payment Run can be calculated at a time. 

 

If Payments contained within the Payment Run have one or more errors, they will be moved to the 'Needs Attention' list for review, repair, and recalculating. 

 

Calculated Payment Runs without errors will be moved to the 'Pending Approval' header. Click 'Approve' to approve and submit the Payment Run. Approving a Payment Run authorizes R365 to withdraw the Total Expense amount from the account on file.

Needs Attention

Payment Runs that have been previously calculated and contain one or more errors will be listed in the Needs Attention section. 

 

Clicking View Details will open the Payment Details page where details for the contained Payments and calculation errors can be viewed.

 

Once the errors have been corrected, clickCalculate to recalculate the Payment Run.

All uncalculated Payment Runs without errors will be listed in the Ready to Calculate section. 

 

Clicking View Details will open the Payment Details page where details for the contained Payments can be viewed.
