This is a part of the Manager Tools feature of the Smart Ops Release.
All Time Off Requests are listed on this tab. This tab allows Users to review new and historical Time Off Requests for all Locations in one place. Additionally, individual Time Off Requests can be approved, denied, or cancelled.
Employees can Request Time Off through the Time Off screen in the R365 Red App. Once submitted, it will appear in the Time Off tab for Manager review.
- Note: Time Off Requests can also be approved and denied from the Manager Queue within the Scheduling module.

Time Off Grid
1) Search - Enter two or more characters to search Location, Employee, or Status columns for the entered text
2) Table Views - This enables the User to create and edit saved views of this list. Simply click this icon, then either 'Save Current View' to save the new view or 'Edit Table Views' to edit the selected view. All saved views are listed above these two action buttons.
3) Filter - This allows the User to create a filter for the table. Click the filter icon to open the 'Filter Columns' window. Once open, click '+ Add Filter' to select the 'Column' and 'Filter' type, then enter the 'Value' that should be filtered for. Select the 'Apply' button to filter the table for the information entered. Click the trashcan icon to remove a filter.
4) Columns - This lists all of the columns available to display. Check a column name to include it in the list; uncheck it to exclude it from the list. Columns can also be reorganized by dragging and dropping the desired column's rearrange icon.
5) Export - This will download the listed information into a .csv file
6) Refresh - This will refresh the listing
7) Time Off Request - Click to open the Time Off Request Sidesheet
Time Off Request Sidesheet
1) Action Buttons - 'Deny', 'Approve', or 'Cancel Approval'. The buttons displayed are dependent on the status of the Time Off Request. See the Approving, Denying, and Cancelling Time Off Requests section below.
2) Help Menu - This will open the Help Menu
3) Full Screen - This will expand the sidesheet to fullscreen. The sidesheet can then be returned back to the original size by clicking the minimize icon
4) Close - This will close the sidesheet without saving
5) Employee Information - Details about the Employee making the Time Off Request, including Name, Location, Jobs, and the number of approved requests in the last 30 days
6) Time Off Information - Details about the Time Off Request, including status, requested date(s), requested times, and reason
- Note: Times requested will only be displayed if the 'All Day' toggle switch is 'Off'. Otherwise, the full day is requested
- Note: This section is 'Locked' and cannot be edited.
7) Employee Comments - Comments made by the Employee when submitting the Request
- Note: If no comments were made, this section will not be displayed.
8) Manager Notes - Optional comments made by the Manager when approving or denying the Request
- Note: Manager Notes are visible to the Employee
9) Time Off Icon - Indicates that the Request is for Time Off and indicates the status of the Request
- Request in in 'Active' status
- Request is in 'Approved' status
- Request is in 'Declined' or 'Cancelled' status
Approving, Declining, and Cancelling Time Off Requests
Active Requests
Requests with a status of 'Active' will have the 'Approve' and 'Deny' buttons displayed.
Follow these steps to approve or deny a Request:
- Click on the 'Active' Request from the Time Off grid
- Review the Request
- Enter Manager Notes (Optional)
- Note: Manager Notes are visible to the Employee
- Note: Manager Notes are visible to the Employee
- Click 'Deny' to deny the Request or 'Approve' to approve the Request
- Note: Denying the Request will change the Time Off Request's status to 'Declined' and send a notification to the Employee.
- Note: Approving the Request will change the Time Off Request's status to 'Approved', add the Time Off Request to the Schedule, and send a notification to the Employee.
- Note: Denying the Request will change the Time Off Request's status to 'Declined' and send a notification to the Employee.
Approved Requests
Requests with the status of 'Approved' will display the 'Cancel Approval' button. Cancelling an 'Approved' Time Off Request will remove the Request from the Schedule.
Follow these steps to cancel an approved Request:
- Click on the 'Approved' Request from the Time Off grid
- Click 'Cancel Approval'
A confirmation window will appear. - Click 'Yes' to cancel the Time Off Request and notify the Employee
Denied and Cancelled Requests
Requests with the status of either 'Declined' or 'Cancelled' cannot be edited or reinstated. A new Request must be submitted by the Employee.
Creating Time Off on Behalf of Employees
In the event that an Employee does not have access to a smart phone to submit a Time Off Request, Users with appropriate Manager Tools access can create Time Off Requests for the Employee(s). To learn more about creating a Time Off Request on behalf of an Employee, click here.
