R365 HIRE and Workforce each have different login credentials. Users will have separate credentials for each.

Yes. When in the Payroll instance, navigate to the HR tab. From the dropdown menu, select R365 HIRE. This will takes Users to the R365 HIRE login page.

No, existing Indeed subscriptions do not need to be cancelled.

To post jobs through R365 with an existing Indeed subscription, first, from the Indeed account, pull down all currently posted jobs. After removing these job postings, the jobs can then be posted through R365.

Do not close the account. These jobs are sponsored by Indeed through R365HIRE, and the payment will continue to be charged through your Indeed account.

Applicants can be manually entered into the system. However, R365 does not recommended doing so. In addition to being time consuming for Managers, when an Applicant is manually entered, they will not be assigned to an Onboarding checklist.

Should an Applicant arrive to inquire about a job in person, it is best to share the job posting with the Applicant via email or text.  Sharing the posting will allow Applicants to complete the application on their own.

Users must wait 31 days before refreshing a job. This setting cannot be changed.

Best Practice

Space out job postings to create rotating jobs. As job postings age, they will be able to be refreshed on different dates. This way, your organization's postings can continuously appear at the top of job boards.

Each Manager can adjust their own notification settings. Users may elect to get notified when Applicants complete paperwork.

To connect the R365 HIRE page to a company website, send the URL of the R365 HIRE career page to your web designer and have it added to the organization's website.

Best Practice

Place the R365 HIRE Career Page link at the top of your website. This way, the link is easily accessible for website visitors.

The additional I-9and W-4 forms located under 'Single Assign Forms' are only to be used after an employee has completed onboarding.

For example, if an employee gets married and needs to update their information, assign these forms.

The Payroll information from the Onboarding module will export to Payroll. All attached documents transfer during the initial export.

After the initial export, any additional documents will need to be uploaded directly to Payroll.

If the applicant has completed their necessary paperwork, but the Onboarding bar is still blank, it is likely that the Manager has not completed their portion of each document. Ensure that each document is completed.

Applicants must be exported individually unless R365 Payroll is enabled. To learn about how to export an Applicant to Payroll, click here.

For Users that have R365 Payroll enabled, clicking 'Hire' will automatically populate an Employee Record into R365 Payroll. To read more about the automatic population of Employee Records into R365 Payroll, click here.

Employee numbers and custom fields do not export into Payroll or R365 Payroll

When setting up the form, there is an option to require the upload of the Applicant's ID. The system only accepts PDFs, so it is recommended that the Manager uploads this document.

The Direct Deposit information that is listed within the Payroll tab will export to Payroll. However, the form itself is used as point of reference.
