Radar Customers have the ability to transfer accounting data into R365 in order to assess financials and use R365's robust accounting functions. By setting up Export Batches for all Radar to Restaurant365 Exports, Site Admins can be reassured that their Accounting Users have the files they need to import data into R365.

This article reviews the process of transferring key financial data from Radar to R365:

Radar File Export

Open the left navigation by clicking the menu iconand then click 'Exports'. The Exports module will open where all available exports will be listed alphabetically.

Under the 'R' section, there will be four new Restaurant365 exports:

  • Restaurant365 - AP Export
  • Restaurant365 - GL Sales Export
  • Restaurant365 - Inventory Adjustment Export
  • Restaurant365 - Vendor Upload Template Export

Export the necessary files and save them to a desktop computer.

Utilizing Export Batches for Radar to R365 Exports

To make the above process easier, it is recommended to set up Export Batches, or subscriptions, for these exports first. In doing so, the system will automatically run and send these exports to the necessary recipients so that they can proceed to importing the files into Restaurant365.

Step 1: Set Up an Export Batch

To begin, open the left navigation by clicking the menu iconand then click 'Company Config'. This will open up the Company Configuration window.

When this window loads, scroll down the listing and click 'Report & Export Batches'. The Report & Export Batches screen will then load with all current batches. Clickand then fill out the batch details.

1) Batch Name - The name of the Export Batch. It is recommended to include 'Radar to R365 Export' in the title for easy reference

2) Override Email - The email that can override this batch. Leave this field blank for now

3) Frequency - The occurrence for which this export is ran. It is recommended to select 'Every Day'

4) Run Time - The time when the export is ran

5) Wait for Location Groups - This determines whether the export will wait to be created until all Location's data to be polled for this report

6) Wait for Posting Location Groups - This determines whether the export will wait to be created until all data has been posted. It is recommended to wait for all data to be posted to ensure a successful export

7) Abort Time - The time by which the system stops attempting to build the export

8) Is Export Batch? - This determines whether this is an Export Batch or not. Ensure to check this box

9) Can User Subscribe? - This determines whether other Users can subscribe to this Export Batch or not

10) Save - This will save the entries made

11) Cancel - This will discard the entries made

Once created, Email Recipients will need to be added. Follow the steps below to finalize the Export Batch:

  1.  Scroll down the listing of current batches until the most recent batch is displayed. Click the green arrow icon at the end of the row

  2.  Select the desired recipient from the 'Available' column and then click the back arrow in between the two columns to mark the recipient as 'Currently Assigned'. Repeat this for all recipients
    • Note: Users can also enter in an FTP credential to receive Export Batches via FTP

  3.  Even though all changes will be saved automatically, click 'Done' at the bottom of the screen to close

Step 2: Include the Export Batch in the Export Parameters

Navigate back to the Export module and click on the desired Restaurant365 export.

An Export Parameter screen will open where the parameters can be set for the export. Before adjusting these parameters, click the blue plus sign next to the export's title.

  • Note: This functionality is only available to Site Admins.

This will enable the User to select the new Export Batch in the final step of the Export Parameters. Complete the final steps before saving the changes made.

  • Step 1 - 'All Company'
  • Step 2 - Same Start and End Date (recommended to send daily)
  • Step 3 - N/A
  • Step 4 - Select the new Export Batch and click 'Save'

Once completed, set all Restaurant365 exports to include the new Export Batch. This will ensure that the data is sent to the correct Users daily, which will allow them to import the data regularly into Restaurant365.

Restaurant365 File Import

After logging into R365, hover over the 'Administration' menu in the top ribbon and click 'Radar Imports'. The Radar Imports screen will open where transactions and Vendor information can be imported. 

1) Import Journal Entry - GL Sales or Inventory Adjustments - This import is used for both GL Sales and Inventory Adjustment files. One or more files can be imported at a time

2) Import AP Invoices - This import is used for any AP Invoice entries. One or more files can be imported at a time

3) Import Vendors - This import is used to update any existing Vendor records. Only one file can be imported at a time

Once a file is selected, it will be imported into the system automatically. Any errors that occur during an import will be displayed below the corresponding section and will not be uploaded.
