Managers are able to answer employee schedule requests via the R365 App. Once a request is made, the manager will be automatically alerted by a push notification that, when tapped, will open directly to the request. Open Requests are easily accessible on the Dashboard, enabling Manager approval functions at their fingertips. 


This article reviews the following topics:



Managers can view all existing employee schedule requests from the Open Requests screen. Users can navigate to open requests by tapping the Open Requests widget from the mobile dashboard or Schedule Requests from under Scheduling in the mobile navigation menu.

The Open Requests dashboard widget features each of the different type of request. The Request screen will open to the list of the request type tapped. The Open Request queues have the following tabs: 

  • Availability - All edits made to availability will be listed here. 
  • Offer - All claims for offered or open shifts will be listed here. 
  • Trade - All submitted trade requests will be listed here.
  • Time Off - All submitted time off requests will be listed here. 




Review and Respond to Requests


Managers can respond to individual requests from the request Details screens, which can be opened by tapping an individual availability change, offer, trade, or time off request from the Schedule Requests list. 



From the Request Details screen, users can review all the details regarding the request as well as select whether to deny or approve the request.  Once a selection is made, a pop-up window will appear that includes an optional comment field where the manager can include a note about their response.


 



 The notice of approval or denial will then be sent to all employees on the request when they are notified of their manager's decision.



Weekly Availability Change Requests


A listing of all availability change requests will be displayed in the availabilit request queue, which can be accessed by tapping the the availability iconin the bottom tab bar. Each request will have a preview of the request details, including the Employee name, amount of days changed, and the date the request was made.



FieldDescription
Employee NameThe employee that submitted the availability change as well as the jobs that the employee is assigned to. 
New AvailabilityThe new availability being submitted. Changes will be marked in red bolded text.
Current AvailabilityThe availability that the employee currently has.
Submit DateThe date that the availability change was submitted by the employee. 
DenyTap to deny the request. 
ApproveTap to approve the request. 





Offered/Claimed Shift Requests


A listing of the offered and opened shifts that have been claimed will appear on the Offer list, which can be accessed by tapping the offer iconon the bottom tool bar. The number of claims will appear next to each Offered Shift to show the amount of Employees who have shown interest in working that shift. Once an Offered Shift is tapped, it will open the details of that request.



FieldDescription
Shift DetailsThe details of the shift being claimed, including the following:
  • Shift owner
  • Job type
  • Date and time
Claiming Employee & HoursThe employee that has submitted a claim for the shift. Beneath the employee name will list the employee's scheduled hours should the claim be approved.

Next to this amount, an additional number will appear with an upward arrow to show the amount of hours that the Total Hours is increased by this request. This amount will be colored based on the amount of total hours they have:
  • Black - The total hours are not approaching Over Time
  • Orange - The total hours are approaching Over Time (between 35-40 hours)
  • Red- The total hours includes Over Time (over 40 hours)

ApproveTap the approve button next to the correct employee to approve the claim for the selected employee. The approved employee will be assigned the shift.
Submit DateThe date that the claim was submitted by the employee. 
Deny AllTap to deny all employee claims to this shift. All employees that have submitted a claim will be notified of the denial, including the offered employee for offered shifts.





Trade Shift Requests 

A listing of all the shift trade requests will appear on the Trade list, which can be accessed by tapping the Trade iconin the bottom tab bar. The names of both employees, the location, and the desired shift changes will appear in each trade request entry for a quick view into the request. Tap on an individual request to view the shift trade details.



FieldDescription
Employee NameThe name of the employees wanting to trade shifts.
Hours The scheduled hours for the employee the trade be approved. Next to this amount, an additional number will appear with an upward arrow to show the amount of hours that the Total Hours is increased by this request. This amount will be colored based on the amount of total hours they have:
  • Black - The total hours are not approaching Over Time
  • Orange - The total hours are approaching Over Time (between 35-40 hours)
  • Red- The total hours includes Over Time (over 40 hours)
Shift DetailsThe job code, date, and time frame of the shift that is being traded.
Submit DateThe date that the shift trade was submitted. 
DenyTap to deny the trade. 
ApproveTap to approve the trade.



Time Off Requests


A listing of all time off requests will appear on the Time Off Requests list, which can be accessed by tapping the Time Off iconfrom the bottom tab bar.. The name of the employee, the location, and the desired dates and times will be listed in each line for a quick view into the request. When a request is selected, the Time Off Details will populate the screen.


Important Note about Time Off Requests


When employees submit a time off request, the time off request will be submitted for all locations associated with the employee. Managers will only be able to see the requests for the locations that they are associated with. When a manager approves a request, all requests for all locations will be approved. When a manager denies a time off request, all time off requests for all locations will be denied.

Employee NameThe name of the employee requesting the time off. 
Time Off TypeThe type of time off request.
Date/Times RequestedThe date(s) and time(s) that the request is for. 
LocationThe location that the manager is reviewing for. Approving/denying a single request will approve/deny the request for all locations.
JobsThe job codes that the employee is assigned to. 
NotesAny notes that the employee left in the request. 
Requests ApprovedThe number of the requests that the employee has had approved in the last 30 days. 
Conflicting RequestsAny requests made by other employees that may conflict with the current request.
DenyTap to deny the request. This will deny the request for all locations.
ApprveTap to approve the time off request. This will approve the request for all locations.



Filter Requests


When reviewing requests, managers can filter the request list to narrow the list down to only certain requests. Requests can be filtered by the following:

  • Date Parameters
  • Employee
  • Locations
  • Active Requests
  • Archived Requests




Managing Time Off Requests Using Time Off Accruals
