Net Pay Shortfalls


The Negative Balances report lists all Employees with current carryover balances. Carryover balances are created when an Employee's net pay is insufficient to cover all required tax withholdings, deductions, and garnishments. This frequently happens when an Employee has previously-paid earnings, such as cash tips, and has already received the majority of their gross pay. When this occurs, their hourly earnings do not cover the associated taxes and/or deductions, and a Net Pay Shortfall occurs.

Important Note: The Negative Balances report does not include taxes; only negative deductions are reported. 



To view the Negative Balances report, navigate to the Workforce Reports page, locate the report in the 'Payments' section, then click 'View'.

Worker - Employee with the carryover balance

Balance - Amount of unpaid deductions that will be withheld from future Payroll Batches


Clicking on a row will open the Negative Balance Details page for the associated Employee.


The 'Negative Balances' report can be downloaded from the Returned Payments page by clicking the 'Download' button in the top-right of the page. 

  • Note: The 'Download' button is disabled when there are no negative balances present.

Negative Balances Detail Page



1) Employee - Name of the Employee

2) Total Balance - Employee's current negative balance

3) Pay Period Balances - Each row represents the change to the Employee's negative balance for each pay period

  • Pay Period - Date of the pay period
  • Expected Deductions - Deductions calculated for the Pay Period
  • Actual Deductions - Total deductions withheld, including carryover from previous Pay Periods
  • Balance - Total negative balance to be withheld from future Payroll Batches 


Clicking on a row will open the Negative Balance Sidesheet with deduction-specific balances.

Negative Balance Details Sidesheet



The Negative Balance Details Sidesheet lists the following for each Deduction with a negative balance in a single Pay Period:

  • Expected Deduction
  • Actual Deduction
  • Balance


The total Negative Balance for the Pay Period is shown at the bottom of the sidesheet.
